Introducing BusinessOptix Monarch (2025.1)

Library-Wide Navigation:

We’ve significantly enhanced the library-wide navigation experience—building on familiar capabilities like role-based content and license-based permissions, and evolving them into a more intelligent, responsive, and configurable system.

Pop-Out Menu

A new era of navigation has arrived in BusinessOptix with the introduction of the Pop-Out Menu. Accessible via the button in the top-left corner of your screen, this menu provides quick access to key areas of the platform. While some options remain consistent across users, the menu is also the first stop for tailoring content to your organization’s needs, making it easier than ever to personalize the experience for your end users.

Personalized Navigation, Refined

While role-based content targeting and license-aware permissions have long been part of the platform, Monarch takes them further. The interface now adapts more dynamically to each user’s role and activity, showing only the most relevant tools, tasks, and content. Whether you're an author, participant, or viewer, the experience is streamlined and focused.

Contextual Notifications and Tasks

Notifications and tasks are now smarter and more user-centric. Users only see what’s relevant to them—notifications for comments or model changes can be dismissed, while tasks remain active until completed. This ensures clarity without clutter, and helps users stay on top of what matters most.

Organization-Tailored Content

Admins can now configure content visibility with greater precision. Using access control groups and role-based dashboards, organizations can surface the right landing pages, forms, and dashboards to the right users. This builds on existing capabilities but adds more flexibility and control.

New “My BusinessOptix” Dashboard

The redesigned, out-of-the-box homepage, offers a more intuitive and actionable experience:

        • A configurable welcome message
        • Quick access to tasks, forms, and frequently used content
        • Advanced filtering by status, folder, author, and owner
        • Dynamic display of popular content based on recent usage within the library

Visual Task Management with Kanban

The new Kanban board provides a visual, prioritized view of tasks by due date and status. It integrates seamlessly with forms and workflows, supports task creation, and offers detailed task views—all governed by business rules and access controls.

License-Aware Functionality

While license-based access has always been part of the platform, Monarch introduces more nuanced control. For example, Viewer licenses typically restrict folder browsing, but Monarch allows organizations to override this through configuration—offering more flexibility without compromising governance.

Configurable Help and Resources

Organizations can now replace the default Help Center link with localized support content by simply adding a model named “Help” to a designated path. This small change empowers teams to deliver more relevant, in-context assistance.

Cognitive Search:

With the Monarch release, searching the library has been significantly enhanced to deliver faster, more accurate, and more intuitive results. While search has always been a core part of the platform, this update transforms it from a simple keyword tool into a powerful, AI-driven experience that understands both user intent and content context.

Two Seamless Search Experiences

BusinessOptix now offers two distinct but complementary search modes:

        • Quick Search: Instantly accessible via the search bar or Ctrl-K, this mode surfaces the top five most relevant models as you type. It also suggests popular or previously used search terms to guide users toward better results.
        • Advanced Search: For more control, users can refine their search using filters such as model type, status, author, owner, role, system, and location. Filters operate with OR logic within categories and AND logic across categories, allowing for precise targeting of content.

Smarter Results with Cognitive Intelligence

Powered by Azure’s AI Cognitive Search, the platform now uses a combination of semantic and vector search to understand the meaning behind queries—not just the words. This means users get results that are contextually relevant, even if the exact keywords don’t match.

Each time a model is saved, imported, published, or deleted, the search index is automatically updated—ensuring results reflect the most current content. The index includes rich metadata such as:

        • Model name, description, type, author, and owner
        • Component names and descriptions
        • Roles, systems, locations
        • Comments and other configured text fields

Only BusinessOptix models are indexed—external files like Word or PDF documents are excluded.

Enhanced Visibility and Insights

The advanced search interface now shows not just the content name and description, but also the top three sections or steps where the search term appears, giving users deeper insight into why a result is relevant.

A new Search Dashboard provides analytics on search behavior, including:

        • Total number of searches
        • Searches with no results
        • Most popular search term

This helps knowledge managers identify gaps and optimize content discoverability.

Customizable Search Configuration

Libraries can now define up to ten custom facets to support additional filtering needs. These facets can be labeled in multiple languages using the local dictionary—giving organizations full control over how search is structured and presented.

The interface has been significantly enhanced to deliver a more intuitive and powerful content management experience. Designed to resemble familiar file explorers like Windows Explorer and macOS Finder, the new Browse UI makes navigating and managing models easier for users at every level.

Familiar Layout, Smarter Navigation

The updated interface provides a clean, structured view of the content in your library. Users can now:

        • View key model metadata at a glance, including file name, type, last modified date, author, owner, status, and version.
        • Sort models by clicking on column headers.
        • Use the “Find” function to filter models within a folder by keyword.
        • Choose how many models to display per folder view.

Streamlined Model Access

In response to user feedback, clicking on a model name now opens the model output directly—streamlining access to content. To view model details, users can click the information icon. For authors, launching a model in Author is now just a single click away, making editing faster and more efficient.

Multi-Select for Bulk Actions

One of the most requested features—multi-select—is now available. Users can select multiple models at once to:

        • Move them to a different folder
        • Delete them in bulk

This is especially useful for librarians and content managers who need to restructure or clean up large volumes of content quickly.

Dashboards:

The Monarch release brings a major upgrade to dashboards in BusinessOptix, focusing on flexibility, performance, and user experience. These enhancements empower users to build cleaner, more interactive dashboards that are easier to configure and more responsive to organizational needs.

Smarter Layout with Grid-Based Design

Dashboards now use a 12-column grid layout, allowing widgets to be placed side by side and automatically wrap to new rows when space runs out. This structure ensures consistent alignment and a cleaner visual presentation across devices.

To support more complex layouts, the new Widget Group component enables nested grids—ideal for creating stacked columns or grouped content areas. On smaller screens, layout decisions are pre-defined: widgets display full-width on phones and half-width on tablets, ensuring a seamless mobile experience.

Enhanced Navigation Options

In addition to traditional tabbed navigation, dashboards now support breadcrumb navigation—ideal for hierarchical content. Breadcrumbs are dynamically generated based on page names and selected filter values, helping users understand their location and navigate more intuitively.

Advanced Filtering and Drill-Down

Filters have been upgraded to support:

        • Synchronized filters across tabs
        • Search-linked filters that carry over into search results
        • Split values for comma-separated data (e.g., multiple authors)
        • Local filters that apply only to specific widgets

Drill-down functionality has also improved. You can now pass different values than what’s displayed—such as using a model name for display but passing the model ID behind the scenes.

Expanded Widget Library

Monarch introduces new widgets and improves existing ones:

        • Charts: Supports a wide range of types including column, bar, line, pie, radar, treemap, and more. The new auto-series feature simplifies configuration by dynamically generating series from category fields.
        • Cards: Split into two distinct widgets—Metric Cards for aggregated data and Card Lists for displaying model details. Pre-built styles like Simple Model and Model Card make setup easy.
        • Hierarchy: Displays nested blocks for multi-level data structures. Used in the Kanban board and other complex visualizations.
        • Treeview: Visualizes folder structures or other nested data from a source, offering a flexible way to explore content.

Performance-Driven Configuration

To improve performance in large libraries, dashboards can now be configured to only retrieve data based on selected filters. This behavior can be set at the dashboard or tab level, reducing load times and improving responsiveness.

Forms:

The Monarch release brings powerful new capabilities to Forms in BusinessOptix, making them more intelligent, flexible, and aligned with complex business needs. These enhancements allow organizations to build forms that are not only easier to use but also more responsive to user input, role-based logic, and workflow automation.

Flexible Layout and Navigation

Forms now follow the same 12-column grid layout used in dashboards, allowing for consistent and responsive design. The new Fieldset component enables nested layouts, making it easier to organize complex forms.

Navigation options have also expanded:

        • Multi-page, tabbed, or wizard-style presentations
        • Conditional visibility of pages or sections based on user role or form data
        • Real-time updates to visibility as fields are modified 

Dynamic Visibility and Validation

Form builders can now define visibility and validation rules using:

        • Pre-set conditions (e.g., “field equals X”)
        • Role-based access (e.g., only visible to users in the Knowledge Manager group)
        • Calculated fields using JavaScript for advanced logic

Validation rules can be applied to ensure required fields, enforce value ranges, or trigger logic based on user input. For more complex scenarios, calculated fields can drive both visibility and validation behavior.

Enhanced Configuration Options

Monarch introduces several new configuration features:

        • Choice Fields: Now support dynamic population from data sources and can be filtered based on other field values (e.g., selecting a continent, filters the list of capital cities).
        • Form Saving: Forms can now be saved to subfolders based on field values, improving organization and access control.
        • Form Assignment: Assign forms as tasks to individuals or groups, with support for fixed or dynamic assignment logic.
        • After Submission Actions: Configure what happens after a form is submitted—display a message, redirect to a dashboard, or return to the form for further edits.

Developer-Level Customization

For advanced use cases, developers can inject custom JavaScript or CSS at both the form and field level. This allows for tailored user experiences, complex logic, and branded styling—while maintaining security through controlled access.

Improved Visuals and File Handling

        • A broader range of icons is now available to visually distinguish content and actions.
        • Attachments and images can be stored in subfolders, enhancing access control and organization of uploaded files.

Pre-Configured Templates

To simplify form creation, new forms come with a sample template that demonstrates common functionality and binds fields to model metadata like name, description, and status—making it easier to get started and customize.

Monarch (2025.1) delivers a smarter, more personalized platform experience with major upgrades to library-wide navigation, cognitive search, browsing, dashboards, and forms—enhancing usability, configurability, and performance across the board while building on familiar features like role-based access and license-aware content.
